Typically on first contact the client will have an idea about a requirement
 but possibly no firm idea about how it may work or  what it will cost. 
"I'd like to be able to do this - is it possible?"

Normally We're able to reply very quickly eg...

If  I'm aware of a more suitable existing utility/application/developer we'll say... Yes Or No. It's something I would/wouldn't be interested in looking at.

* If yes.....   We discuss key features and user management/requirements then we'll then explain how me might proceed.
* If no we'll explain my reasons and if appropriate refer a trusted colleague or company for an alternative solution.

1. In order to save costs and unnecessary meetings I prefer to work initially with an individual representative of the company/business who understands the requirements. I prefer to avoid travelling to non essential meetings - It's unusual not to be able to achieve the same levels of feedback via Skype Audio/Video or Messenger. This approach is equally effective, more convenient, much much faster, more spontaneous and a lot less expensive.

2. Each project is unique so I don't normally provide examples of apparently similar applications. However I do prepare a unique Windows.exe and some notes that will give the client a good idea (or a point of reference) about how their own application might look and work. I would normally expect to provide this by download/email within 24 hrs.  Normally the cost of this first demo is UKP£60-00. This charge may be waived at my discretion for certain types of applications.

3. Once the first custom demo has been evaluated I am normally able to liaise with the client and quickly determine whether we will continue or otherwise.

4. If the decision is to continue a price or daily rate will be discussed. Daily rates vary according to scale of project. Simple utilities can often be produced in a day or two at an agreed rate.. but long term and more complex projects attract a weekly or daily pro rata rate from as little as UKP £80.00 per day.
